RIPE Meeting Registration Terms and Conditions

Introduction

This document specifies the terms for the registration and participation at the RIPE Meeting (hereafter: “Terms and Conditions”).

Article 1 Definitions

In these Terms and Conditions, the following shall be understood to have the meanings assigned to them below:

  • RIPE NCC – Réseaux IP Européens Network Coordination Centre, a membership association under Dutch law, with registered office in Amsterdam, the Netherlands.
  • RIPE community – RIPE (Réseaux IP Européens) is a collaborative forum open to all parties interested in wide area IP networks in Europe and beyond. The objective of RIPE is to ensure the administrative and technical coordination necessary to enable the operation of a pan-European IP network.
  • Meeting – The RIPE Meeting, a five-day event, including the related social events, organised by the RIPE NCC, where the RIPE community gathers to discuss issues of interest to the Internet community.
  • Registrant(s) – Anyone who registers to attend the Meeting.
  • Ticket(s) – Week ticket(s), day ticket(s) or student ticket(s) that give physical access to the Meeting as specified in Article 3 of these Terms and Conditions.
  • RIPE Dinner – The dinner that usually takes place the night before the end of the Meeting and for which the Registrants need to purchase a separate ticket.

Article 2 General

2.1 By registering for the Meeting the Registrant confirms to have read and understood, and agrees to be bound by, these Terms and Conditions.
2.2 These Terms and Conditions may be subject to amendments and will be valid upon publication unless specifically indicated otherwise by the RIPE NCC. By attending the Meeting after any changes are made to these Terms and Conditions, Registrants confirm that they have read, understood and agree to be bound to these amendments.

Article 3 Tickets

3.1 To physically attend the Meeting Registrants shall pay for a Ticket, as indicated by them. The available types of Tickets are the following:
a. week ticket, which gives physical access to all days of the Meeting, excluding the RIPE Dinner
b. day ticket, which gives physical access to one day of the Meeting as specified by the Registrant, excluding the RIPE Dinner
c. student ticket, which gives physical access to all days of the Meeting, excluding the RIPE Dinner. For this Ticket the Registrant must show a valid student identification card upon arrival at the Meeting. Student tickets are not available for students attending the Meeting on behalf of an organisation other than the institution at which they are students. If a Registrant is not able to show a valid student identification card upon arrival at the Meeting, the RIPE NCC may charge the price for a week ticket.
3.2 Tickets include lunch, coffee breaks and social events except for the RIPE Dinner. The Registrant shall be responsible for their own transport, accommodation or any visa obligations. The price of the Ticket and the method of payment shall be specified on the Meeting website. It is the Registrant’s sole responsibility to fulfil the payment of the Ticket.
3.3 After payment of the Ticket, the Registrant shall receive a Meeting badge. The Registrant shall be able to show the Meeting badge at all times while attending the Meeting.

Article 4 Cancellation and Refunds

4.1 The RIPE NCC shall only refund the price of a Ticket, if the Registrant send a written cancellation notice via email to meetings@ripe.net no later than ten (10) working days before the first day of the Meeting.

4.2 In case the Registrant asks for a refund of the price of a Ticket in accordance with Article 4.1, the RIPE NCC shall charge the Registrant an administrative fee of EUR 25, including VAT. This administrative fee shall be deducted from the price of the Ticket.

4.3 If the cancellation notice is received by the RIPE NCC later than ten (10) working days before the first day of the Meeting, the RIPE NCC shall not refund the price of the Ticket.

4.4 If the Registrant does not show up at the Meeting and has not sent a cancellation notice in accordance with Article 4.1, the RIPE NCC shall charge the Registrant the price of the Ticket as indicated by the Registrant.

4.5 The RIPE NCC may cancel the Meeting due to unforeseen reasons beyond the control of the RIPE NCC without being liable for any damages except the ones described in this article.
If such cancellation is communicated to the Registrant up to one (1) month before the first day of the Meeting, the Registrant may choose to receive a refund of the price of the Ticket or a new equivalent Ticket for another Meeting. If such cancellation is communicated to the Registrant less than one (1) month before the first day of the Meeting, the Registrant shall receive a new equivalent Ticket for the next Meeting.

4.6 If the Registrant is unable to attend the meeting for any reason other than cancellation of the Meeting by the RIPE NCC as described in Article 4.5, the RIPE NCC shall not be liable for any resulting losses, financial or otherwise in addition to the price of the Ticket.

4.7 The Registrant acknowledges, understands and agrees that at the Meeting people from different experiences, backgrounds and views exchange ideas in a respectful manner and it is expected from all participants, including the Registrant, to demonstrate tolerance and respect to everyone. If the Registrant fails to act accordingly, the RIPE NCC reserves the right to exclude the Registrant’s attendance from the Meeting, without being liable to pay any refund of the price of the Ticket or any other damages.

Article 5 Privacy

5.1 All data of the Registrant is processed in accordance with the Dutch and EU Data protection laws and regulations.
5.2 The Registrant agrees to the RIPE NCC Privacy Statement by registering for the Meeting (https://www.ripe.net/about-us/legal/ripe-ncc-privacy-statement).

5.3 By attending the Meeting, the Registrant allows the RIPE NCC to use and make publicly available video and/or audio recordings, photographs, presentations or pictures of the Registrant, or any of those in which the Registrant may be included.

5.4 By registering, the Registrant allows the RIPE NCC to publish the Registrant’s name and organisation on a list of Registrants of the Meeting on the Meeting website, as part of the RIPE NCC commitment to open and transparent policy development. The Registrant may choose to share their profile picture and email address with those logged in to the RIPE NCC website with a RIPE NCC access account. This latter option may be enabled or disabled by the Registrant at any time.

5.5 Use of the list of Registrants of the Meeting as described in Article 5.3 for advertising, direct marketing, marketing research or similar purposes is not allowed. If a Registrant acts in violation of this article, the RIPE NCC reserves the right to exclude the Registrant’s attendance from the Meeting, without being liable to pay any refund of the price of the Ticket or any other damages.

Article 6 Liability

6.1 The Registrant indemnifies the RIPE NCC for any third-party claims filed against the RIPE NCC in relation to the registration for the Meeting or for attending the Meeting or any obligation arising out of these Terms and Conditions.
6.2 The RIPE NCC shall not be liable for damage because of a failure to meet any obligation under these Terms and Conditions if such a failure is due to circumstances for which the RIPE NCC is not considered accountable to law, contract or trade custom.

6.3 Live transcript services may be provided in some sessions of the Meeting. Due to the inherent difficulties in capturing a live speaker’s words, it is possible transcripts may contain errors and mistranslations. The RIPE NCC accepts no liability for any event or action resulting from the content of the transcripts.

6.4 In case the Registrant shares any video and/or audio recordings, photographs, presentations or pictures of the Meeting on social media or any other channel, the Registrant indemnifies the RIPE NCC of all possible or future claims of third parties regarding the content.

6.5 The RIPE NCC excludes all liability for any direct or indirect damages, including damages to the Registrant, Registrant’s business, loss of profit, damages to third parties, personal injury or damages to property, except in cases involving wilful misconduct or gross negligence on the part of the RIPE NCC or its management.

6.6 The RIPE NCC shall, in any event, not be liable for damages due to force majeure, including but not limited to industrial action, strikes, lockouts, occupations and sit-ins, blockades, embargoes, governmental actions or measures, denial of service attacks, war, warlike circumstances, terrorist attack, terrorist threat, civil or military authority, revolutions or comparable situations, power failures, defects in electronic lines of communication, general network outage, fire, explosions, damage caused by water, floods, unusual weather conditions and earthquakes

Article 7 Miscellaneous

7.1 The RIPE NCC’s intellectual property may only be used, reproduced and made available to third parties upon prior written authorisation from the RIPE NCC and in any case in accordance with the RIPE NCC Copyright Statement.
7.2 The RIPE NCC Privacy Statement and the Copyright Statement, which may be revised and updated from time to time, form an integral part of these Terms and Conditions.
7.3 If any provision contained in the Terms and Conditions is held to be invalid by a court of law, all other provisions of these Terms and Conditions will continue to be in effect and enforceable.

Article 8 Governing law

These Terms and Conditions shall be exclusively governed by the laws of The Netherlands. The competent court in Amsterdam shall have exclusive jurisdiction with regards to disputes arising from these Terms and Conditions.

How Much Does It Cost?

Full Week Attendance Option

The meeting fee for the entire week is €350.

Day Ticket Option

Day tickets cost €125 per day. We offer these tickets as an alternative to the regular week ticket, they are meant for those who are unable to attend the full week.

Student Discount

Active full-time students can buy a discounted ticket for €50 which includes attendance at all sessions throughout the week. You must show a valid student identification card upon arrival at the meeting. We do not offer a student discount for day tickets or for the RIPE Dinner. When registering for the RIPE Meeting, students can choose to list themselves as “student” or enter the name of the academic institute where they are studying or leave this field blank. The student discount is not valid for students attending on behalf of another organisation.

Free Tickets for New LIRs

To bring new members together with existing ones and the RIPE community, all new LIRs receive two free RIPE Meeting week tickets. The tickets cover the cost of registration only. The RIPE Dinner is not included. You will have to take care of your own transport and accommodation.

Presenters and Panellists

Presenters, working group chairs and RIPE Programme Committee members pay to attend the RIPE Meetings just like all other attendees. In extraordinary circumstances, the RIPE Chair can waive the meeting fee for presenters. These requests are dealt with on a case-by-case basis via pc@ripe.net

Lunch and Coffee Breaks

All ticket options include lunch and coffee breaks.

RIPE Dinner

You can buy a ticket for the RIPE Dinner at the same time that you register for the meeting. The ticket price for the RIPE Dinner is fixed at €50 per person. To avoid missing out, we advise you to book at the same time as registering.

Please note that this RIPE Dinner is open only to RIPE 77 attendees due to the limited space available. If you would like to bring a guest to the RIPE Dinner, please send an email to meeting@ripe.net. Your request will be placed on a waiting list, and you will be informed during the RIPE Meeting if there are tickets available.

On-site Childcare

We are making it easier for attendees with children (ages 6 months – 10 years old) to attend RIPE Meetings by offering a professional, on-site childcare service. Space is limited, so be sure to reserve your spot ASAP.

How Can I Pay?

We advise you to pre-register for day tickets and/or the full RIPE Meeting. You can pay in advance by credit card, bank transfer or PayPal.

Payment Can Be Made By:

  • Online payment via Adyen. Accepted payment methods are credit cards, some debit cards (dependent on country) and PayPal.

Cancellations and Refunds

We will only give refunds if we receive a written (email) cancellation notice no later than five working days before the meeting starts. If you cancel after the 7th of October, you will not get back any money. If you do not show up and did not send a written or email cancellation notice, we will charge you and send an invoice.

If you ask for a refund, we will charge you an administrative fee of €25.
